1. About these Astrid terms

These Astrid Terms of Use ("Astrid Terms") supplement, and form part of, our Terms of Service and are subject to our Privacy Policy, Data Processing Agreement ("DPA"), Acceptable Use Policy ("AUP") and the Astrid Privacy Notice. Where a term is not defined here, it has the meaning given in the Terms of Service. In the event of a conflict specifically regarding Astrid, these Astrid Terms control.

"Astrid" means the conversational AI assistant and related tools, drawers, drafts, reports, cards and workflows made available within the BillPortal platform. Astrid is powered by third-party large language models and by purpose-built BillPortal tools.

2. Beta service — provided "as is", no warranties

Astrid is a Beta feature and is provided on an "as is" and "as available" basis. To the maximum extent permitted by law, we make no warranties, representations or guarantees of any kind regarding Astrid, its actions, its availability, or its outputs — including no warranty of accuracy, completeness, reliability, fitness for a particular purpose, non-infringement or that outputs are error-free.

Beta features may change, be limited, be interrupted, or be withdrawn at any time without notice. We do not guarantee any particular result, saving, recovery, outcome or level of performance from using Astrid.

3. Your prompts drive Astrid — and your review is required

Astrid responds to the instructions and prompts you give it. Its outputs depend entirely on those prompts, on the context available at the time, and on the permission-scoped data your role can access. You are responsible for the prompts you submit and for how you use, rely on, share or act on Astrid's outputs.

Because AI-assisted outputs can contain inaccuracies or omissions, human review is the primary control against error. You must verify important dates, amounts, account numbers, payment values and external commitments before acting on them, approving them or sharing them. You accept responsibility for anything you approve or act upon.

4. Permitted use, scope and boundaries

• Astrid inherits your organization and role scope; it can only access collections and fields your permissions allow, and it is not a general-purpose or unrestricted interface to your data or to BillPortal.
• General Astrid operations are read-only by default. Certain supported workflows (for example collector onboarding, platform migration, missing-bill setup and some sustainability setup) can prepare or apply changes only through previews and explicit confirmation steps.
• Astrid is not autonomous: it does not perform arbitrary writes, refunds, deletions, approvals, payments or configuration changes on its own, and it does not send external communications without a human review/approval step (for example, vendor emails are drafted for your review and approval).
• You must use Astrid in compliance with the Acceptable Use Policy and applicable law, and you must not attempt to manipulate, poison, jailbreak or adversarially probe the underlying models or extract other organizations' data.

5. AI credits — prepaid, metered and non-refundable

Applicable Astrid activity (including chats, reports, migrations and other AI-heavy workflows) is metered against your organization's prepaid AI-credit wallet. AI credits are separate from the bill credits used for bill collection and parsing.

• AI credits are prepaid and are non-refundable, in whole or in part, including for unused balances, dissatisfaction with outputs, or errors in AI-assisted results — please use your credits wisely.
• Every Astrid action consumes AI credits because BillPortal itself incurs model, compute and infrastructure charges from its providers for that activity; those costs are non-recoverable once incurred.
• Credits may expire at the end of the subscription term in which they are purchased and do not roll over unless an order form states otherwise.
• We will make low- or depleted-balance warnings available within Astrid where applicable; you remain responsible for monitoring your balance and for authorised top-ups made within the application.
• Statutory rights that cannot be waived are unaffected. Any discretionary credit or goodwill gesture we may grant does not create an obligation to do so again.

6. No professional advice and no guarantee of accuracy

Astrid does not provide legal, tax, accounting, financial, engineering or other professional advice. Outputs are informational aids to your own judgement and workflow. No AI-assisted answer is guaranteed to be accurate or current, and you must not rely on Astrid as the sole basis for a payment, filing, commitment or other consequential decision.

7. Data, privacy and grounding

Astrid is not custom-trained on your private company data. At answer time, BillPortal supplies relevant instructions, conversation context and approved tools that retrieve current, permission-scoped workspace data for your request. How Astrid processes prompts, conversations and workspace data is described in the Astrid Privacy Notice and, for personal data, the DPA and Privacy Policy.

You are responsible for ensuring you have the authority and consents to submit any data, files or credentials to Astrid, and for not submitting content you are not permitted to process.

8. Vendor communications and generated outputs

Where Astrid drafts vendor emails or other communications, it prepares drafts for your review; a person must inspect and approve content before it is delivered through the approval workflow. Reports, exports, cards and drafts Astrid generates are provided for your review and are subject to Sections 2 and 3. You are responsible for the accuracy and appropriateness of anything you approve, send or publish.

9. Limitation of liability and indemnity

To the maximum extent permitted by law, BillPortal Technologies Inc. is not liable for any loss, damage, cost, claim or consequence arising out of or relating to Astrid, its actions or its outputs — including losses arising from AI-generated content, inaccuracies, omissions, prompts you supplied, or actions you took or approved based on Astrid's outputs. The limitation of liability and any liability caps in the Terms of Service apply to your use of Astrid, and Astrid (as a Beta feature) is expressly subject to the "as is" disclaimer above.

You will defend, indemnify and hold harmless BillPortal Technologies Inc., its affiliates and personnel from and against third-party claims arising out of or relating to your prompts, your use of Astrid or its outputs, your reliance on or distribution of those outputs, or your breach of these Astrid Terms, the AUP or applicable law. Nothing in these Astrid Terms limits liability that cannot be limited by law.

10. Changes and contact
